🎯 Purpose

The OrchestraHCM Employee Center Module is designed for central management of employee data. Your company's legal structure is established in this module. At the top level, a company code is created, then personnel areas and personnel sub-areas are defined. Additionally, employees are grouped according to time tracking and payroll calculations through employee groups and employee sub-groups. In this module, you can store and track all the necessary information of your employees historically. Employee information is stored in tables called information types in the system. Employee personal data is stored encrypted in the system.

From initial hiring to organizational and promotion changes, to employee documents, you can manage all your employee data through standard screens. If the standard fields in the system do not meet your needs, you can create additional information types. Similarly, if you want to make changes to the screens, you can make these changes using drag-and-drop method without coding.

📚 Key Concepts

Key concepts that should be known before using the OrchestraHCM Employee Center module:

Company Code

The highest level unit with a balance sheet. It's defined by a unique four-character code and forms the company's legal structure. Personnel areas are connected under the company code. Multiple company codes can be defined in the system.

Personnel Area

Regions connected to company codes. Used especially for groupings like reporting and legal regulations.

Personnel Sub-Area

These are work locations. They are connected under personnel areas. Holds information about which workplace employees work in. In Turkey, it can be associated with the SSI workplace number.

Employee Group

Grouping of employees from the government's perspective. Groupings like normal, retired, miner, athlete, apprentice are used.

Employee Sub-Group

More specific subcategories of employee groups. Employees with different characteristics especially in payroll, time tracking and authorization matters are distinguished by employee sub-groups.

Information Type

Standard data structures where employee data is stored. Each type of information such as personal information, education status, family status is kept encrypted in separate tables. Each information type is represented by a four-character number.

Process Sequence

Automatic processing steps defined for processing and updating employee data. Processes that need to be stored historically with reasons. Examples include hiring, promotion, termination. Process sequences and reasons are adaptable.
