Basic concepts that need to be known before using the OrchestraHCM Workflows module:

Form States

At each step of a workflow, the form has a specific state. For example, there can be states like "Draft", "Pending Approval", "Approved", "Rejected". These states indicate what stage the form is at and determine what the next steps will be. These form states are defined when creating the workflow and are used to track the form's status throughout the process. Generally, each form starts with the NEW - New state, and can have states like APPROVEDM - Manager approved, REJECTEDM - Manager rejected, APPROVEDHR - HR approved, REJECTEDHR - HR rejected. These states are critical for determining the progress and outcomes of the workflow.

Form Field Reactions

Each field you add to the form can give different reactions according to the form state. For example, in a leave request form, the "Leave Type" field can show only annual leave-related sub-fields when "Annual Leave" is selected, and show sick leave-related sub-fields when "Sick Leave" is selected. This way, your form becomes more dynamic and user-friendly. Form field reactions allow you to control the visibility, requirement or editability of specific fields based on the form's state or the values of other fields.

Form Responsibles

The people responsible for each status change in the form can be defined during design. Or it can also be determined by writing rules within the schema.
